Zoom Rooms at Downtown Works: General Overview

Every Zoom-enabled meeting room at Downtown Works uses an iPad controller mounted near the TV to manage the room β€” camera, screen sharing, and audio all run through it.

Getting Started

  1. Turn on the TV. You should see the Zoom Rooms home screen.

  2. Pick up the iPad controller and unplug it from its charging cable, if applicable.

  3. When you're done, plug the charging cable back in so the iPad stays charged for the next meeting.

Starting a Scheduled Meeting

On the iPad controller, select your meeting from the meeting list and tap Start.

If you need to record the meeting, you must join from your laptop first (not just the iPad) so you're assigned as host, then select Record from your laptop. After that, connect to the room using the steps above.

Starting an Instant Meeting or Calling Another Room

  1. Tap Meet Now on the iPad controller.

  2. Tap Invite, then select the room(s) or contact(s) you want to call.

  3. Tap Invite to send the call.

Sharing Your Screen from the Room

  1. Once you're in a meeting, tap Share Content on the iPad.

  2. On your laptop, go to the website address shown on the room's screen. This connects your laptop to the room for screen sharing only β€” no audio or video backfeed.

  3. Your screen is now visible to the room and to remote attendees.

Camera Control

Tap Camera Control on the iPad to zoom or pan the room's camera.

Recording a Meeting

  • Tap Start Recording on the iPad controller.

  • For an instant meeting, enter the email address where the cloud recording link should be sent.

  • For a pre-scheduled meeting, the recording link goes to the email of whoever scheduled it.

  • Tap Stop Recording, or select Leave > End Meeting for All, to finish.

  • The recording link arrives by email β€” click it to view or download.

Muting and Audio

Mute audio or stop video directly from the iPad controller at any time during a meeting.
